Job Summary:
Bucknell University seeks an Academic Assistant to support the department of Chemical Engineering by managing administrative functions essential to its operations, with a preferred start date in July, 2025. The Academic Assistant oversees tasks such as budgeting, purchasing, and expense tracking while ensuring timely updates to course schedules and catalogs. The Academic Assistant will provide logistical support for events, meetings, and projects, and serve as a liaison between faculty, students, and external partners, addressing inquiries and maintaining clear communication. This position manages sensitive and confidential information, ensures compliance with institutional policies, may supervise student workers, and coordinate hiring processes for faculty and staff roles. This position reports to the department chair and works with the lead academic assistant in this area. This position is a full-time, benefits-eligible, 35 hours per week, non-exempt, staff position.

Job Duties:

Essential Functions:
  • Provides comprehensive administrative support to faculty, staff, and students, including managing correspondence, preparing documents, and coordinating schedules.
  • Executes departmental events, meetings, and special projects. Handles logistics, communication, and follow-up to ensure successful execution.
  • Maintains departmental budgets, processes purchase orders, tracks expenditures, and reconciles accounts to ensure financial accuracy and adherence to guidelines.
  • Updates course schedules, manages catalog changes, and collaborates with faculty and the registrar's office to ensure timely and accurate publication.
  • Serves as a resource for students and faculty by addressing inquiries, coordinating student hires, and supporting departmental activities and goals.
  • Maintains sensitive and confidential records related to students, faculty, and departmental activities while ensuring compliance with institutional policies.


Department Specific Duties:
  • Responsible for the department Procurement card, both purchasing and reconciliation.
  • Provides support for the Derr seminar series, external speakers/visitors, and the annual senior banquet.
  • Provides oversight and budget coordination for the events and travel of the American Institute of Chemical Engineers (AIChE) student chapter. Shares, with the department chair and selected faculty, in the responsibility of updating and maintaining department web and social media presence (Department web page, Facebook, Instagram, etc.).

Minimum Qualifications
  • Minimum Required Education: High School Diploma or GED
  • Minimum Required Work Experience: 2 years administrative experience


Preferred Qualifications
  • Preferred Education: Associate's Degree in Business Administration or related field
  • Preferred Work Experience 4 years Administrative experience. Experience in higher education a plus.

    • Project/Program/Service Management: Ability to coordinate and administer program/project activities and protocols. Ability to manage resources, monitor activities, and assess risks and quality issues associated with the program/project.
    • Written and Oral Communications: Ability to present information to individuals or groups; ability to deliver presentations suited to the characteristics and needs of the audience. Ability to convey information clearly and concisely to groups or individuals either verbally or in writing to ensure that they understand the information and the message. Ability to listen and respond appropriately to others. Ability to impact and influence others to further the institution's strategic objectives.
    • Technical, Computer, and Software Skills: Ability to use Microsoft Office (Excel, PowerPoint, Word) and basic databases and software.
    • Additional skills required: Ability to positively interact with a wide range of individuals and demonstrates skill in customer service. Ability to anticipate and solve problems, and ensure tasks are completed on time.

    The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.

    This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
